Booking Event Type

Booking events block a person’s capacity for a specified number of hours per day. This functionality allows you to reserve or allocate an individual for a particular activity or project without the need to specify exact Jira tasks. This feature is particularly useful for planning and managing resources in scenarios where the specific tasks may not be defined yet but you need to ensure that the team member is available for the allocated time. It helps in maintaining a clear overview of resource availability and ensures that there are no overbooking or scheduling conflicts.

Add a Booking

To add a booking click on an empty cell in the person's timeline. In the Create New Item dialog click Booking and enter the title in the corresponding field.

If the manager already knows which project the allocation belongs to, the project has to be selected as well. This is optional, and the project can be General (default value). 

Booking Settings

A manager can specify if the booking is to be created for one person only or the whole team. To book a time for the whole team one has to check Create for everyone in this Team checkboxBooking will automatically be added to every team members timeline for a specified period.

A manager can also set the number of hours planned to be spent on the task daily. By default, the booking is estimated for 8 hours per day. One can change the default value by dragging the arrow or entering the number of hours manually in the Hours per Day field.

Booking Approval Process

Once the booking is created, users with Admin/ Manager/ Team lead user roles can approve it by clicking on the approval icon as shown below:

After approval, the approval icon changes to a dark gray color, indicating that the booking has been approved and is now locked. This means that employees and users with lower user roles will not be able to change the booking unless it is unapproved by an admin or manager. The booking can be easily unapproved by clicking on the same icon if necessary, allowing for quick and efficient changes to be made if needed.

Easy approval and management of bookings help ensure that bookings are up-to-date and accurate, reducing the risk of errors and miscommunication within the team.

Timeline Workload Indicator

Once a manager hits the Create button, the timeline view is updated with the Booking added for a particular person or the whole team. Though there is no JIRA ticket scheduled yet, the workload indicator shows 8 hours of work for a team member.

If more tasks are added to a person's timeline, the indicator will show a red color and a negative number indicating that the person has something else already planned.
