Placeholder with no JIRA Issue Associated

Apart from the ability to create placeholder for JIRA ticket that is not ready for assignment, ActivityTimeline add-on allows creating placeholder with no JIRA issue associated and replacing it with the actual ticket later.

This is very useful for organizations that plan work several months ahead when no tasks are yet added into JIRA.

Create Placeholder without any issue associated

To create placeholder and do not associate it with any JIRA ticket follow the steps:

  1. Click in user's timeline to create new item

  2. Switch to Placeholder

  3. Enter Title and Estimate, select Project:

     

  4. Press Create

    --> Placeholder is scheduled on user's timeline. No JIRA ticket is associated with it.

Associate Placeholder with JIRA ticket

  1. Click on placeholder item > Open

  2. In Approval section check Associate existing JIRA task to this Placeholder option:

     

  3. Click Approve

  4. In Quick Issue Search search for existing JIRA ticket.

Update Issue with Placeholder title and estimate

When JIRA ticket is associated, in Approval section, user has the possibility to update it with placeholder title and estimate.

  1. In Approval section check Update Issue with Placeholder title and estimate option:

     

     

  2. Press Proceed

    --> Placeholder is substituted with JIRA ticket on user's timeline. JIRA ticket inherits the title and estimate of placeholder no matter what title and estimate it had before. Previous values are overwritten.

Do not update Issue with Placeholder title and estimate

In case you do not want the actual ticket to inherit placeholder's values, you can have your JIRA issue title and estimate remain the same as before.

  1. When JIRA ticket is associated, in Approval section do NOT check Update Issue with Placeholder title and estimate option:

     

  2. Press Proceed

    --> Placeholder is substituted with JIRA ticket on user's timeline. Title and Estimate of JIRA ticket remains the same as before. It does not inherit those values from placeholder.

Placeholder with no JIRA Issue associated vs. Booking

The main idea behind a Placeholder without an issue is the way Placeholder allocates time.

→  Booking allocates time per day, e.g. one can create a Booking specifying how many days should be reserved with a specific amount of hours per day (for example, 8h per day).

→  Placeholder allocates time per the whole item not per day, e.g. one can create a Placeholder with a total of 8h and stretch it across days (it can be scheduled into a single day or two days resulting in 4h per day workload).

 Also, the differentiation is that one can assign ​a JIRA issue to a Placeholder later on. 

So, firstly one can create a Placeholder without issue (if there is no issue yet) and assign an issue later on when it is created in JIRA.
